FAQ

Frequently asked questions about Helium Systems.

Answers to the most commonly asked questions about Helium.

General

What browsers does Helium support?

Helium works best on modern browsers: Chrome, Firefox, Safari, and Edge. We recommend keeping your browser up to date for the best experience.

Can I use Helium on mobile?

Helium is designed for desktop use. While the interface is responsive and accessible on tablets, the full feature set is optimised for larger screens — especially warehouse operations like the Pack Station.

How many users can my organisation have?

There is no hard limit on the number of users. Your organisation can create as many Admin, Company, and Client user accounts as needed.

Access and permissions

What's the difference between Admin and Company users?

Admin users have unrestricted access to everything in Helium, including organisation settings and user management. Company users have access controlled by their assigned roles — they only see what their permissions allow.

Can a user have multiple roles?

Yes. Users can be assigned multiple roles, and their permissions are the combination of all assigned roles. For example, someone with both "Warehouse" and "Sales" roles can access both sets of features.

Can I restrict a user to a single client?

Yes. User access can be scoped to specific clients, so a team member only sees data for the clients they're authorised to work with.

Products and catalogue

How do I bulk-update product information?

Two options:

  1. Bulk edit in the catalogue — Switch to Edit mode, select multiple products, and apply changes
  2. CSV import — Export current data, modify it in a spreadsheet, and re-import

How does AI content generation work?

Content AI analyses your product data (titles, specifications, brand information) and generates professional descriptions using AI. You can generate content for individual products or run batch jobs across your catalogue.

Orders and fulfillment

What happens when stock runs out for an order?

Orders with insufficient stock move to Backordered status. They'll become available for fulfillment once stock is replenished through purchase orders or production.

Can I partially ship an order?

Yes. The Pack Station supports partial dispatch — you can ship the items that are available now, and the remaining items are automatically moved to a new consignment for later fulfillment.

How do shipping labels work?

Labels are generated through carrier integrations (e.g., FedEx). Your organisation configures their own carrier account credentials, and labels are generated and billed through that account. Each carton in a consignment gets its own tracking number.

Inventory

How does stock move through the system?

The stock lifecycle:

  1. Due in — On a purchase order or 3PL shipment
  2. Put Away — Received but not yet placed in storage
  3. Available — In a bin rack and ready to sell
  4. Reserved — Allocated to a customer order
  5. Dispatched — Shipped to the customer

Can I adjust stock levels manually?

Yes, users with inventory permissions can make manual stock adjustments. All adjustments are logged for audit purposes.

Data and integrations

Can I import data from another system?

Yes. Helium supports CSV import for products, suppliers, customers, orders, and images. This makes it straightforward to migrate data from another platform.

Does Helium integrate with shipping carriers?

Yes. Helium currently integrates with FedEx for label generation and shipment tracking. Support for additional carriers (Royal Mail, DPD) is planned.

Can I export my data?

Yes. The Export feature lets you download data in CSV format from Insights → Export. This is useful for reporting, accounting, and backup.
